Jal Seva Charitable Foundation (JSCF) is registered in India as a not-for-profit company under Chapter 8 of the Companies Act, 2013. JSCF, is an associate member of the WaterAid federation and uses the brand name ‘WaterAid’ in India.
WaterAid India seeks to improve the quality of life of 5,000,000 households – with a special emphasis on the vulnerable by 2029 through the provision of climate-resilient and sustainable WASH services via demonstration, institution strengthening, and the effective utilization of public resources. WaterAid India’s (WAI) country office is based in New Delhi with State Offices in Bengaluru, Bhopal, Bhubaneswar, Hyderabad, Lucknow, Patna and Raipur. We currently have a presence in ten states in the country.
WAI’s Programme focus in the next five years is on ensuring access to safe and assured drinking water in the households, as well as safely managed sanitation at both the household and habitation level. Further, we seek to ensure that anganwadis, schools and health care facilities have adequate and appropriate water, sanitation and hygiene infrastructure. Finally, we seek to create integrated water and sanitation solutions in small towns. In all of these efforts, ensuring climate resilience of infrastructure and systems is critical. We seek to do this through demonstration and the provision of technical and knowledge support to governments at all levels who can facilitate adoption on scale. The Admin Officer will provide critical support in day-to-day office administration, basic accounting, and HR processes in the State & District Office, which includes all logistics, travel, procurement, records and data base maintenance of accounts, verification of expenses, generation of management reports from accounts package, and support for finance MIS and files
Roles & Responsibilities:
Admin & Procurement:
Directly manage or oversee all administration and logistics work including travel, Hotel booking, conference/workshop / meetings.
Responsible for contracts and agreements related to procurement, AMC, Travel, Office boy, House Keeping, individual assignment contracts and other services
Responsible for office supplies, and maintaining adequate stock of consumables and printing stationery
Responsible for all procurement, while ensuring that procurement procedures are adhered to, and related documentation is in place
Supervision of the service providers and ensuring proper quality of work & Materials.
Oversee housekeeping and hospitality
Maintain and update supplier related records and documents in administration and finance files
Responsible for maintenance and monitoring of stock register including assets.
Asset management
Accounting:
Perform data entry in Tally software for day-to-day transactions.
Maintain, scan, and file vouchers and other financial documents as per accounting procedures.
Print vouchers and ensure proper signatures and documentation.
Coordinate with the finance team to ensure timely data sharing and support for audits.
Assist in petty cash management and maintaining expense records
Responsible for Monthly Bank reconciliation statement
Liaison with bank
Human Resource:
Assist in the recruitment process
Support onboarding of new staff and coordinate induction processes
Maintain up-to-date employee records, leave and attendance tracking.
Assist with monthly payroll input and support employee welfare activities
Coordinate employee documentation for contracts, IDs, insurance, etc
Eligibility and requirements:
Education:
Graduation or post-graduation in Commerce, or a business management degree from a reputed university/institute
Experience:
Between 7 to 12 years of relevant work experience in similar organizational/functional context.
Other specifications:
IT literate and have good knowledge of Excel, Word & Power point (MS Office in general)
Experience of using accounting package and spread sheets
Fluency in spoken and written English and vernacular language
Good interpersonal and communication skills
A self-starter, able to work independently
Flexibility in a fast-changing working environment
Ability to respond to deadlines, set priorities, and work in a focused manner
Knowledge of TALLY accounting system would be an added advantage
